Understand what automatic registration does
The SARS business-registration guidance states that an income tax reference is generated after a company registers with CIPC. The Client Information System guidance describes the direct interface and explains that a separate income tax registration is not ordinarily required for a CIPC-registered company.
That process does not mean every founder immediately has a usable eFiling profile or knows where the notice is stored. The company’s registration, the representative’s authority and online access are related but separate matters. Work out which one is missing before deciding what application to make.
Begin with the actual company records. A newly reserved name is not the same as a completed incorporation, and another company owned by the founder is not the same taxpayer. Confirm that incorporation has been completed and identify the exact legal entity whose income tax number you need.
Check these records in a sensible order
- Confirm the company’s legal name and CIPC registration number from its official records.
- Review the incorporation pack and any SARS correspondence already received.
- Identify the authorised representative and the correct company profile.
- Check existing registered tax details and request the income tax registration notice.
- Compare the notice with the company’s identity before recording the number.
- If information is unavailable or inconsistent, raise an authorised enquiry with the supporting records.
Keep a note of what you checked and the result. This avoids several people independently applying for the same registration because each was told that “the tax number is missing”. One person should coordinate the enquiry and keep the company’s official record current. Keep sensitive registration documents within the authorised team. A request from a customer should specify which evidence is needed; it does not require access to the company’s entire tax profile or the representative’s security credentials.
If a formation agent handled incorporation, ask for the completed registration pack and any official tax correspondence held on the company’s behalf. Treat the document as evidence to check, not a reason to share the founder’s personal login credentials.
Distinguish the numbers before copying one
| Reference | What it relates to | What it does not prove |
|---|---|---|
| CIPC registration number | The company’s registration identity. | That the number is a SARS income tax reference. |
| Company income tax reference | The company’s income tax registration. | VAT or PAYE registration. |
| Director’s personal tax reference | The individual’s tax affairs. | The company’s tax identity. |
| TCS PIN | Authorised verification of tax compliance status. | A replacement for the underlying tax registration number. |
Label references clearly in the business’s internal register. Do not identify a tax type solely by remembering how a number usually begins. Confirm it against the official notice and record the entity to which it belongs.
Retrieve the appropriate Notice of Registration
The SARS eFiling features page explains that Corporate Income Tax registration notices are available through eFiling. Its organisation-profile route uses SARS Registered Details, then Notice of Registration, followed by the relevant tax type.
Select the correct company before requesting or viewing the notice. Where an adviser manages several taxpayers, confirm the name and registration identity rather than assuming the currently open profile belongs to this business. Save the notice in the company’s own controlled records.
Follow the current screen and official instructions if the menu differs from an older guide. The objective is the genuine registration notice for the correct tax product, not a screenshot of a number appearing elsewhere. If access or rights prevent retrieval, record the message and address the access problem through the appropriate process.
Check the downloaded document is legible and complete. Keep its source and retrieval date with the file. A number copied into a spreadsheet without the notice is harder to verify later, especially after a change of accountant or company name.
Resolve authority and access without creating another taxpayer
A company acts through authorised people. The SARS representative guidance explains how to register or update the relevant representative. If no authorised person can access the company profile, establish that position and the required evidence.
The founder’s ability to log into personal eFiling does not automatically establish the company’s tax access. Similarly, an accountant’s possession of a reference number does not explain the current scope of their authority. Confirm who is acting, for which entity and for what task.
If an existing tax type is held on another authorised profile, investigate the applicable transfer or access process. Do not open a duplicate income tax registration as a workaround. Keep appointment and transfer acknowledgements separate from the registration notice so future staff can understand both the tax identity and access history.
If the record cannot be found or appears wrong
Prepare the incorporation record, company name and registration number, known SARS correspondence and details of the attempted check. State whether no number was found, the profile is inaccessible or the notice identifies a different entity. These are different questions for SARS to investigate.
Use an authorised official enquiry channel and keep the case reference. Provide the documents requested for the actual issue. Avoid sending repeated fresh applications while an earlier enquiry is unresolved unless SARS directs that a new application is needed.
If two numbers appear to refer to the same company, do not simply choose the most convenient one. Obtain clarification of the registrations and any correction or consolidation required. If the number belongs to another company, stop using it and assess whether any forms already submitted need correction.
A company-name mismatch may require separate evidence of a name change or correction. Keep the historical link intact. The CIPC and SARS name-mismatch guide explains how to frame that enquiry.
Does the income tax number mean the company is VAT registered?
No. Income tax and VAT are separate registrations. Automatic company income tax registration does not establish that SARS has registered the company as a VAT vendor. A customer asking for a VAT number should not receive the income tax reference in its place.
Check whether the company has a separate VAT registration notice and confirm the relevant effective date. If no VAT registration exists, assess whether registration is required or whether a voluntary route is available. That review concerns the enterprise and taxable supplies, rather than merely the company’s incorporation.
The SARS VAT registration guidance provides the applicable process. The rolling-turnover guide helps prepare the underlying business information. Use the current rules for the decision date rather than an old threshold found in the formation pack.
If a supplier form asks for both income tax and VAT details, complete each field truthfully. Explain that VAT registration is absent or pending where appropriate to the form and actual facts. Do not add VAT to an invoice or describe the business as registered simply because it holds an income tax number.
Keep the verified result and plan the next obligation
Save the notice, update the company’s reference register and record who may access the tax profile. Keep official correspondence routed to an authorised person who will act on it. Obtaining the number is a useful first step, but it does not establish that later returns and payments have been completed.
For income tax registration support from Vatco, provide the incorporation record and explain the exact gap. If the issue is representative activation or a missing tax type, identify that separately. A clear enquiry helps distinguish an existing registration that needs access from a registration problem requiring SARS to act.
Review the company’s filing and record-keeping duties after confirming the registration. Preserve the evidence even if trading has not started. Inactivity is a factual position to assess under the applicable rules, not a reason to discard the company’s tax records or assume the reference is unnecessary.
