FIND YOUR STARTING POINT

A missing number and a missing login are different problems.

Existing taxpayer record

Before applying for anything new, establish whether a taxpayer record already exists.

  • You may have been registered previously through employment, an earlier application or an automatic process. An old notice of registration, employer record or SARS correspondence can help clarify the position.
  • Not knowing the number does not necessarily mean you have never been registered.

Automatic registration or access help

SARS explains that qualifying individuals can be registered when first registering for eFiling and that CIPC-registered companies are normally registered for income tax through the interface between the authorities.

  • That means some requests labelled “income tax registration” are really about retrieving evidence, correcting particulars or gaining authorised access.

The correct individual or entity

Tell us who needs assistance: an individual, company or another entity.

  • A sole proprietor’s tax position should not be confused with a separate company record. Where the request concerns a trust, we direct the work towards the specific trust-registration requirements.
  • The first useful deliverable is a clear statement of what exists, what is missing and which action should be undertaken next.
YOUR SITUATION

Do you need a new taxpayer record, a number or access?

Individual or sole proprietor

First establish whether an income tax number already exists.

  • Bring earlier SARS notices or employer records if available.
  • A sole proprietor’s income tax record is the individual’s record; incorporation introduces a different entity.

CIPC-registered company

Check the company’s existing SARS registration before requesting a fresh application.

  • Use incorporation documents and any notice already received.
  • A lost login or changed public officer may require access or representative work instead.

Non-resident individual

Use the identity evidence applicable to the person and the chosen channel.

  • SARS accepts passport or relevant permit evidence for non-residents; branch visits require the original and a copy.
  • Explain any existing South African reference and changed identity details before creating another record.

GET THE RECORDS READY

Prepare identity and contact information consistently.

The exact supporting requirements depend on the applicant and channel.

You do not need to publish your tax number or private documents in the initial website enquiry. Describe the problem first so the team can confirm a suitable document list and authorised way to proceed.

  • Applicant and legal formIdentity, address and entity registration evidence

Begin with identification, current contact information and address details, then add the relevant company or other entity documents.

    • For an individual attending a branch, take the original identity document and a copy. Non-resident identity evidence can include a passport or relevant permit.
  • Details differ from older recordsLegible copies and discrepancy explanation

Use current, legible copies and explain discrepancies between older records and the information being supplied now.

  • Lost number or inaccessible profilePrevious SARS messages and case numbers

If your request concerns a lost reference or inaccessible profile, retain the messages you have received and any previous case details.

  • Organisation using a representativeRepresentative appointment or mandate

For an organisation, identify the person entitled to act and check the representative information before requesting profile changes.

  • Individual taxpayerAuthentication contact details

For an individual, keep control of your authentication channels. A preparation checklist should distinguish evidence of identity from proof that someone may act on your behalf.

  • Third-party assistanceEvidence authorising the appointed person

Possession of an email address or a copied identity document should not be treated as sufficient permission to control a taxpayer account.

THE CORRECT TAXPAYER

Match the registration to the person earning the income.

Prepare a short description of how the income arises. Employment, freelance work, rental activity and company trading can create very different administrative needs. The question is not simply whether money enters a bank account; it is whose activity the money relates to and which taxpayer record should carry it.

For a newly formed company, bring the company information and any correspondence already issued. Compare the legal name and registration details carefully, especially if a business uses a different trading name. Applying under a director’s personal details because the company profile is inconvenient to access can create further confusion.

  • For an individual, explain whether you have ever worked for an employer that withheld tax or submitted tax information for you. If identity, residence or contact details have changed, mention the history.
  • These facts help identify the appropriate retrieval, amendment or registration route. We avoid treating every enquiry as a fresh application because the most useful assistance is often resolving the existing record correctly.
A CLEAR HANDOVER

Resolve the record, then organise the next obligations.

  1. 01

    Choose the correct request

We begin by reviewing the request and agreeing whether the work is a registration, reference-retrieval exercise, amendment or access issue.

    • The fee and document requirements should reflect that decision. If several issues are connected, list them individually so you know which outcome each part of the work is meant to produce.
  2. 02

    Prepare and review taxpayer details

The relevant request is then prepared through the appropriate SARS channel using authorised information.

    • You should review key identity and business details before they are submitted.
  3. 03

Keep the request and follow-up record

Keep the resulting acknowledgement and any supporting-document request.

    • A request in progress should not be presented to an employer or customer as completed registration evidence.
  4. 04

Check and hand over the outcome

When an outcome becomes available, check the taxpayer details and retain the appropriate notice or response.

    • The handover should explain whether the agreed task is complete and identify any separate profile or filing work still required.
    • Registration is a foundation for administration; it is not a statement that all earlier returns, payments or other tax types have automatically been dealt with.
BEYOND THE NUMBER

Know what the number does and what it does not do.

An income tax reference identifies a taxpayer. It does not by itself establish tax compliance, enrol a business for every tax type or determine whether a particular return must be filed. Those questions should be considered against the activity and relevant period, not inferred from the existence of a number.

We can discuss ongoing personal or company return support after the registration position is clear. Historic returns, provisional tax, VAT and payroll registration should be agreed as distinct tasks where relevant. The first enquiry can remain simple: explain who you are registering, why the number is needed and what has already been tried. That gives the team enough context to recommend the next practical step.

  • Once the record is established, decide who will maintain registered details and monitor correspondence. Keep a secure record of the registration outcome and the authorisations you have granted.
  • If an employer or financial institution needs proof of registration, provide the appropriate evidence rather than account credentials.

YOUR QUESTIONS. A CLEARER NEXT STEP.

Income tax registration:
frequently asked questions.

01Does a new CIPC company always need a separate income tax application?

SARS states that CIPC-registered companies are automatically registered through the authorities’ interface. The first task is therefore to check the existing position and retrieve or resolve the relevant record. Do not assume that another registration application is necessary merely because you have not seen the reference.

02I lost my tax number. Should I register again?

Start by checking whether a record already exists using the appropriate SARS process. Keep any earlier employment or tax correspondence available. A duplicate application is not the normal solution to a lost reference, and the team should establish what retrieval or correction work is actually needed.

03Is eFiling registration the same as income tax registration?

They are connected but should not be treated as identical questions. A person can have a taxpayer record yet need help accessing the online service. Explain whether you lack the reference, the registration notice or usable authorised access so the request addresses the correct issue.

04Can a freelancer use this service?

Yes, we can review the registration position and the facts of the activity. Explain whether you trade personally or through a separate company and whether you already have a tax number from employment. Return obligations and provisional tax are considered separately from establishing the registration record.

05Will obtaining a tax number make my profile compliant?

Not automatically. Registration does not resolve missing returns or established balances. If your real objective is supplier clearance, say so at the beginning; the team can distinguish the registration task from a compliance review rather than providing the wrong document for the requirement.

06How long will it take and what will it cost?

The answer depends on whether the record is new, already exists or needs correction, and whether identity or representation queries arise. We assess that position before quoting the scope. No fixed completion date is promised for a SARS verification outcome outside our control.
