UNDERSTAND THE TASK

Two forms. Two different jobs.

Monthly declaration and reconciliation

An EMP201 deals with the employer’s monthly declaration and allocation of payroll-tax amounts.

  • An EMP501 reconciles the relevant payroll period, bringing declarations, payments and employee tax certificates together.
  • The reconciliation is not a replacement for the work that should have been done during each payroll period.

New, outstanding or corrected submission

Before requesting help, identify the employer reference and the exact months or reconciliation period involved.

  • A current monthly declaration, an outstanding annual reconciliation and a correction to a previous employee certificate require different work.
  • Explain whether the request concerns a new submission, a rejected file or an inconsistency discovered after acceptance.

Current requirements and period status

SARS publishes the applicable submission requirements and reconciliation windows. We check the current period rather than presenting fixed April or October deadlines as though they apply permanently.

  • A useful engagement begins with a period-by-period status list: what was prepared, what was submitted, what was accepted and what was paid. Those are separate facts, and distinguishing them makes the next action much clearer.
YOUR SITUATION

Do you need a monthly declaration, reconciliation or payroll catch-up?

Monthly EMP201 assistance

Use the approved payroll for the exact month.

  • Confirm the person approving the declaration and the separate person releasing payment.
  • Retain payment references and check allocations before paying an unexplained balance again.

EMP501 reconciliation

Bring the payroll, declarations, payments and employee certificates into one period file.

  • Check employee information and source codes as well as monetary totals.
  • The reconciliation does not replace each month’s reporting and payment work.

New provider, rejection or historical gap

Identify the affected months and the version last submitted.

  • Request payroll exports and submission history from the earlier provider.
  • Keep validation messages and certificate corrections in a versioned record so unresolved exceptions remain visible.

THE WORKING FILE

Build the three-way reconciliation.

Create a discrepancy list showing the record affected, the difference identified and the evidence needed to resolve it. This is more reliable than changing the final reconciliation total until software accepts it. Each correction should have a reason that can still be understood after the filing season has ended.

  • Each payroll periodApproved payroll reports and change schedules

Start with the payroll reports used to calculate remuneration and deductions. Obtain the version actually used for each pay run, including changes for starters, leavers, bonuses and corrections.

  • More than one payroll administratorPrior-provider payroll exports and handover files

If different providers handled different months, explain the handover and keep their source files separate until the combined totals have been checked.

  • Periods being reconciledEMP201 records and payment proofs

Next, gather the declarations on the employer’s SARS record and the payment evidence.

  • Allocation reviewPayment references and employer statements

A bank payment total does not necessarily explain the period or liability to which it was allocated. Keep payment references and statements with the calculation so apparent differences can be traced rather than adjusted away.

  • Reconciliation or certificate correctionIRP5 or IT3(a) certificate data and employee records

Finally, compare the employee certificate data with those period totals. Names, tax references, employment periods and source codes deserve attention alongside the amounts.

  • Validation or correction caseRejection messages and submission version history

Keep the actual response and the file used so a correction addresses the source of the error.

MONTHLY CONTROL

Make the monthly declaration a controlled task.

  1. 01

Set the payroll cut-off and approval

Agree a cut-off for receiving approved payroll information and identify who signs off the figures.

  2. 02

    Prepare and resolve missing information

We review the information within the agreed scope and prepare the declaration for the relevant period.

    • If data is missing or inconsistent, the issue should be raised before submission rather than silently replaced with an assumption.
  3. 03

    Authorise and confirm the payment

The employer should distinguish approval of the declaration from authorisation of the payment.

    • A submitted EMP201 does not itself show that funds have reached SARS. Confirm the payment responsibility, use the appropriate reference and retain the evidence with the return record.
    • Where a payment has already been made, reconcile it before arranging another one.
  4. 04

    Maintain the exception list

After the period is dealt with, maintain an exception list for corrections, unidentified payments and unresolved employee information.

    • Carrying these matters openly into the next cycle makes the later EMP501 work easier to follow.
    • If recurring submissions are part of your engagement, agree how reminders, approvals and late information will be handled; a one-off catch-up request should not imply indefinite monthly monitoring.
WHEN THE NUMBERS DO NOT MATCH

Investigate differences at their source.

Payroll, declaration or payment discrepancy

A reconciliation problem can begin in payroll, an EMP201 declaration, payment allocation or certificate information.

  • Identify the source before choosing the correction route. For example, an employee’s details should be corrected using the underlying record, while an unexplained payment difference needs the transaction and account information.

File rejection or validation error

SARS validation and submission channels change over time, so the file format and software version must suit the current process.

  • Keep the rejection message and submission history. Repeatedly sending the same file without investigating its response can obscure which version should be treated as the working copy.

Employee certificate correction

When a correction affects an employee’s certificate, retain a clear version history and explain what has changed.

  • Do not issue contradictory documents without identifying the correct one. The handover should distinguish accepted submissions from unresolved queries and include any follow-up still required.
  • That record helps the employer answer an employee’s later question without reopening the entire payroll year from disconnected emails.
DEFINE THE SCOPE

Choose recurring support or a defined catch-up project.

For recurring work, tell us how payroll is processed, how many employees are involved and who approves the data. For historical work, list the periods outstanding and whether payroll exports, prior submissions and payment records are available. These details determine the preparation and investigation required more accurately than headcount alone.

Completion means that the agreed submission result and any remaining exceptions are handed over clearly. It does not mean every future employer obligation has been discharged. Keep the reconciliation file, approval evidence and payment records together, and decide who will maintain them for the next period. Accurate recurring administration is usually easier to manage than a last-minute attempt to recreate an entire payroll history.

  • The quote should identify whether it includes EMP201 preparation, EMP501 reconciliation, certificate work and responses to validation errors.
  • Payroll reconstruction, substantive tax-treatment advice and a formal SARS audit response may require additional scope. Agree that boundary before the work starts.

YOUR QUESTIONS. A CLEARER NEXT STEP.

EMP201 and EMP501 submissions:
frequently asked questions.

01What is the main difference between EMP201 and EMP501?

EMP201 is the monthly employer declaration. EMP501 is the reconciliation for the relevant reporting period, tying together the employer declarations, payments and employee certificate information. When asking for help, specify which task and period is involved so the correct work can be scoped.

02Does submitting an EMP201 automatically pay SARS?

No. Submission and payment must be checked separately. Confirm who authorises and makes the payment, retain its reference and reconcile it to the employer account. A saved return or submission acknowledgement is not evidence that the payment was successfully received and allocated.

03Can you fix a rejected EMP501 file?

We can review the rejection message and underlying records. The correction may concern employee details, payroll amounts, period information or format requirements. Provide the actual response and working files; changing figures merely to pass validation would not address the underlying accuracy of the reconciliation.

04Can you help when our previous payroll provider is unavailable?

Start with the records you have: payslips, payroll exports, declarations and payment evidence. We can assess the gaps and scope a reconstruction if appropriate. The work may be more extensive than filing a ready reconciliation, so the quote should reflect the condition of the records.

05When are the employer reconciliations due?

Use the current SARS notice for the relevant filing period. We confirm applicable dates when reviewing the work rather than relying on an undated website calendar. Provide outstanding-period details early, especially when source information still needs to be obtained or corrected.

06Does this service include issuing correct employee certificates?

Certificate preparation and reconciliation can be included where agreed. Confirm the period and what source information is available. Any corrected certificate should be supported by the reconciled data and a clear version history, so employees know which document relates to their final reported information.
