EMPLOYER ADMINISTRATION

Registration is the start of a continuing process.

UIF registration connects an employer and its employees with the relevant unemployment-insurance administration. A useful setup needs more than an employer reference: employee identity, employment information and the process for keeping records current also matter. The initial registration should lead into a clear routine rather than become a document filed away and forgotten.

Vatco can help assess the current position, prepare the relevant information and assist with the agreed registration or profile work. Tell us whether the employer is new, already registered for other payroll taxes or taking over records from another administrator. The route should be checked before creating another profile or making contributions through an inappropriate channel.

  • SARS guidance checked on 30 September 2026 excludes employees working fewer than 24 hours a month for the particular employer.
  • Other exclusions include specified public office holders and national or provincial government employees. Low earnings alone are not an exclusion.
  • Describe the actual hours and employer type when enquiring, so the appropriate registration arrangement can be identified before records are submitted.
YOUR SITUATION

Prepare for the employer’s actual starting position.

A new business employer

Identify the employer and workforce, then check existing SARS and UIF references. Decide who will maintain employee declarations and contribution records after setup.

A household employing a domestic worker

Describe the actual employment hours and existing records. The employer identity and appropriate route differ from a company pack, so do not invent a company requirement.

Taking over an existing payroll

Request prior declarations, payment history and access arrangements. Resolve missing periods or mismatched employee details instead of treating the handover as a fresh registration.

THREE RELATED TASKS

Keep registration, declarations and payments distinct.

Employer registration and profile access

The employer’s identifying details and appropriate access arrangements establish who the record belongs to and who may manage it.

  • If a reference already exists, the work may involve linking or correcting the record rather than registering again. Confirm ownership of contact details and who will receive official correspondence.

Employee declarations

The employee information needs to reflect the relevant employment periods and changes. Starters, leavers and corrections affect the history associated with the employer.

  • A payroll deduction on a payslip is not, by itself, evidence that the relevant employee declaration has been completed correctly.

Contribution payment and reconciliation

UIF is 1% from the employee plus 1% from the employer, calculated on applicable remuneration up to R17,712 monthly. As checked against SARS guidance on 30 September 2026, the employee’s maximum monthly deduction is R177.12, with an equal employer contribution.

  • For example, on R10,000 of covered monthly remuneration, each contributes R100, giving R200 in total from the employee and employer.
  • For employers paying through SARS, the EMP201 payment is due within seven days after month end, or the preceding business day when the deadline falls on a weekend or public holiday.
PREPARE THE RECORDS

Documents and records to prepare.

Start with the records relevant to your situation. We confirm the exact scope and any authority-specific attachments before submission; briefing information is not automatically a mandatory filing document.

  • Company or household employerEmployer identity and existing references

Provide the relevant business or employer particulars, contact information and existing references. Explain the legal form and who is authorised to act.

    • A commercial employer and a household employing a domestic worker do not necessarily follow an identical profile setup, so the employer type should be clear from the start.
  • Relevant employeesEmployee identity, dates and pay records

Gather the requested identity information, employment dates and relevant pay or working information. Check names and identifiers against the supporting records.

    • Incorrect dates or identification details can create problems later, especially when a former employee needs the employment history to be understood accurately.
  • Existing employerPayroll, declarations and payment history

Bring available payroll summaries, previous UIF declarations, payment records and relevant SARS employer information. If someone else has managed the process, request a proper handover.

    • Starting with the existing position is more useful than assuming no work has been done because the current owner cannot immediately find the reference.
  • Where records have gapsCorrection schedule and missing-period evidence

Identify missing periods, incorrect details or workers who joined or left without the records being updated. Explain what evidence is available to resolve the issue.

    • Historical corrections may need separate work, and the process should not disguise a backlog as a straightforward first-time registration.
A CONTROLLED SETUP

From assessment to an agreed ongoing routine.

  1. 01

    Review the current position

Establish the employer type, existing references and relevant employment arrangements.

    • Confirm whether the task is a new registration, access assistance, employee information or a correction. Where registration or payment responsibilities involve another system, identify the appropriate route before proceeding.
  2. 02

Prepare and check the application information

Organise the required details and review them with the responsible employer representative.

    • Resolve inconsistencies in names, business information and employment dates. Supporting information should reflect the actual arrangement rather than an assumed standard employment pattern.
  3. 03

    Complete the agreed administrative steps

Assist with the relevant registration or profile process and retain the available acknowledgement or reference.

    • A submission should be distinguished from a confirmed record. If further information is requested, identify the outstanding requirement and who must provide it.
  4. 04

    Define what happens after setup

Confirm who will submit employee changes, handle contributions and reconcile the records. Decide how payroll information reaches that person and how errors are raised.

    • The employer should understand which recurring tasks remain its responsibility and which have been included in a separate ongoing engagement.
KEEP EMPLOYMENT INFORMATION ACCURATE

Changes worth communicating promptly.

An employee joins

Record the actual start information and required identity details, then bring the employee into the agreed payroll and declaration process.

  • Waiting until a worker leaves to reconstruct the employment history makes the task harder. Keep the onboarding information consistent across the records used by the business.

Employment details change

Pay changes, working arrangements and corrections can affect the information maintained. Agree how approved changes are reported and who checks that they flow through the relevant systems.

  • A note in an internal spreadsheet should not be assumed to update an official record automatically.

An employee leaves

Record the actual termination date and reason accurately, supported by the relevant employment information. Do not choose a description simply to produce a preferred benefit outcome.

  • Employee benefit eligibility and decisions are separate from the employer’s duty to supply correct records.
CLEAR RESPONSIBILITIES

Employer support is separate from a benefit claim.

Vatco’s registration assistance should be scoped around the employer’s administrative needs. Employee benefit applications follow their own official process and eligibility assessment. Registration support does not guarantee that a benefit claim will be approved or paid within a particular period.

  • Describe the employer, employee numbers, existing references and any missing periods, so the quotation reflects the actual administrative work required.
  • Confirm whether the scope is initial setup only or also ongoing payroll and declaration support, with responsibilities clear after registration.
  • Allow for authority processing, corrections and outstanding information when discussing timing. A fixed completion promise cannot be assumed for every employer.

YOUR QUESTIONS. A CLEARER NEXT STEP.

UIF employer registration:
frequently asked questions.

01Do I register the employer or the employees?

Both the employer record and the relevant employee information need attention. The exact steps depend on the employer’s current position and the appropriate channel. An employer reference alone does not establish that all employee details or later changes have been captured correctly.

02We already pay UIF through SARS. Do we need another payment arrangement?

If you already pay through SARS, verify that registration before creating another payment arrangement. Employers outside SARS registration requirements use the UI Commissioner route. Keep contribution payments and employee declarations reconciled.

03Does a UIF deduction on a payslip prove the employee record is correct?

No. A payslip shows the payroll calculation, while declarations and contribution payments are separate administrative steps. The records should agree, but one output is not proof that every related task was completed. Investigate the actual profile and history where a question arises.

04Can you help with missing historical declarations?

Discuss the affected periods and the records available. Employment dates, remuneration information and previous payments may need reconstruction or correction. Historical work should be assessed separately from routine registration, with no invented dates or figures used to fill the gaps.

05Can a domestic employer request assistance?

Explain that the employment is in a household context so the appropriate employer type and process can be considered. Provide the actual employment details and existing reference if available. Do not assume that a company-registration document is relevant to every domestic-employer situation.

06Does registration guarantee an employee’s UIF benefits?

No. Benefits depend on the applicable requirements and the official assessment of the claim. Accurate employer and employment information can be important, but an assistance provider cannot guarantee eligibility or payment. Employee claims and employer registration should be treated as distinct processes.

07What should I do when the person who managed UIF leaves?

Arrange a handover of references, records and authorised access rather than relying on their personal login or email. Identify who will receive future correspondence and continue the declarations. Review outstanding periods so the change of administrator does not create an unnoticed gap.
