Find the right WCA reference before starting again

A missing WCA number does not always mean your business is unregistered. Vatco helps establish whether an employer record already exists, identify the relevant references and prepare a new registration where required. The aim is a usable, correctly identified employer record without unnecessary duplicate applications.

One employer record can involve different references

Employer registration reference

Businesses often use WCA number, COIDA number and Compensation Fund number when discussing the same administrative need. COIDA is the legislation; the reference identifies the employer's record within the relevant system.

  • Historical correspondence and newer account documents may display different reference formats. Guessing which number to use can lead to failed lookups or payments that need reconciliation.

Contract account and online access

The Fund's own guidance distinguishes a contract account number from an older CF registration reference.

  • There may also be a user profile used to access online services. A login account is not the same thing as registration of the employer.
  • A person can have access credentials while the correct organisation still needs to be linked or identified.

Recovery, access or first registration

This service starts by separating those questions. Do you need first registration, confirmation of an existing number, access to an established record or correction of outdated details?

  • Once the problem is identified, the next action becomes clearer. It is usually more useful to recover and verify the existing position than to assume every missing reference requires a fresh application.
YOUR SITUATION

Do you need to find the number, correct the record or register first?

The business registered before

Start with recovery of the existing employer record.

  • Prior assessments, statements and letters can connect historical and current reference formats.
  • An authorised handover from a former accountant may resolve the search without duplicate registration.

Employer details or activity changed

Identify exactly what changed and retain the supporting documents.

  • A trading-name update differs from a change of legal employer or the nature of business.
  • Where the Fund requests a sworn statement for an activity change, that is different from certifying an ID copy.

No employer record exists

Confirm first registration is required and prepare the employer and workforce details.

  • An online user account does not itself establish an employer registration.
  • If the customer needs a Letter of Good Standing, reference recovery is only one possible step.

Gather the evidence that connects the reference to you

Do not send account passwords with your enquiry. Describe the problem first so the appropriate documents and authorisation can be requested.

  • Existing employer recordRegistration notices, assessments and previous letters

Look for prior registration correspondence, assessment notices, statements, Return of Earnings acknowledgements and Letters of Good Standing.

  • Records held elsewhereAuthorised handover from earlier administrators

An earlier accountant, payroll provider or internal administrator may hold relevant records. Gather copies through an authorised handover and keep the original documents intact, including their dates and the employer name shown on them.

  • Similar names or related companiesMatching legal-entity registration documents

Compare the legal entity across those documents. Companies with similar trading names, branches and related businesses can be confused when records are kept in a shared folder.

  • Reference needs confirmationPayment proofs and employer-identification evidence

A reference appearing on a contractor's letter is not your employer reference. Likewise, a payment proof shows where money was sent, but does not by itself establish that the underlying registration belongs to your business.

  • Authorised enquiryCurrent contact details and representative mandate

The review also needs current entity information, business contact details and authority for anyone acting on the employer's behalf.

  • Access problemOld-email or prior-provider correspondence

Where an old email address or former service provider controls the correspondence, identify that access issue separately.

  • Employer details have changedCIPC name-change record or activity-change evidence

For a trading-name update, keep the CIPC change record. The Fund’s guidance for a nature-of-business change calls for a statement about operations and employee duties sworn before a Commissioner of Oaths or police official; certifying a copy is a different act.

Choose recovery, correction or first registration

  1. 01

Investigate and recover an existing record

If a record exists, the work may involve checking the reference, establishing authorised access or updating the relevant particulars.

    • If two references appear to describe the same employer, investigate their history before using either for new submissions.
    • A duplicate application can make a confusing record harder to resolve rather than giving the business a clean start.
  2. 02

    Prepare first registration where required

If there is genuinely no employer registration and registration is required, the first-application route can be prepared.

    • That process needs employer and workforce information, not just a request for a number. The date employment began and the nature of business remain relevant.
    • Issuing a reference follows the official process; it is not a number Vatco can create independently.
  3. 03

    Support any corrections with evidence

When corrections are needed, retain the evidence of what changed and the outcome received.

    • A change of contact person is different from a change of legal employer. Provide the reason for the change and the supporting documents.
  4. 04

Record the resolution for future staff

The resolution should leave a traceable record so future payroll staff understand why older paperwork may show different details.

A valid reference does not prove the account is up to date

Locating the employer reference solves an identification problem. It does not establish that all returns have been filed, that assessments are correct or that payments have reached the right account. Once access and identity are resolved, check the actual account position before telling a client that the business is fully compliant.

If the account shows missing periods, unexplained balances or a block affecting letter generation, those are separate follow-up tasks. We can identify them during the review and agree a further scope where needed. Keeping the reference work distinct from account regularisation gives you a clear view of what has been resolved and what still needs attention.

  • This is particularly important when the number is needed for a tender or supplier onboarding. The requesting organisation may need a current Letter of Good Standing rather than a registration reference alone.
  • Read the requirement carefully and confirm the document they expect. Sending the wrong type of proof can waste time even where the underlying employer record exists.

Make the recovered record useful for the next filing cycle

A good handover should identify the employer, the official reference or references confirmed and the supporting correspondence. It should also identify who controls the authorised profile, which contact details are recorded and where subsequent notices should go. Keeping only a number in a messaging thread leaves the next person with the same uncertainty.

For an enquiry, tell us which document asks for the number, whether you have registered before and what error or missing information you are facing. Include the legal entity name and the age of the available records. The quote can then cover the actual investigation or application needed. We cannot guarantee immediate retrieval where official records, authority or access remain unresolved.

  • Create a small internal register of the documents and responsibilities without sharing credentials among everyone who handles payroll.
  • When staff or advisers change, transfer the records and review access through the appropriate process. This keeps business continuity separate from any individual's mailbox and helps prevent another search for the same information during the next annual submission.

YOUR QUESTIONS. A CLEARER NEXT STEP.

WCA Number Registration:
frequently asked questions.

01Are WCA registration and COIDA registration two different purchases?

No. These terms are often used for the same employer registration need. The correct service depends on whether you need first registration or help with an existing reference and record. We establish that starting point so you do not pay for duplicate applications that leave the real access or account problem unresolved.

02Can I find my WCA number on an old Letter of Good Standing?

An old letter can provide useful identifying information, but its details must be matched to your legal employer. Its age and validity also matter. Use it as evidence to investigate the record, not as proof that current returns and payments are complete or that the letter remains acceptable for a new contract.

03Why does my payment notice show a different number from older paperwork?

The Fund distinguishes account and registration references, and historical documents can use different formats. Compare the official records before making assumptions. Use the reference required for the particular transaction and retain payment evidence. If the documents conflict, investigate the account instead of manually changing digits based on another employer’s example.

04Can I use the reference from another company that I own?

Do not assume that common ownership makes the registrations interchangeable. The reference must be tied to the correct legal employer. Provide the company details and employment arrangement so the appropriate record can be checked. Mixing records can affect declarations, payments and the evidence supplied to clients or the Fund.

05What if my previous accountant will not give me the login?

Establish the employer’s authority and gather the available official correspondence. Access recovery and representative changes should follow the appropriate process; they do not justify using someone else’s credentials. We can help identify the records and actions needed, while keeping a separate record of any unresolved handover issues.

06Does having a WCA number mean I can download a current letter?

Not necessarily. Registration, annual returns, assessments, payments and any account queries must be considered. A number enables the employer record to be identified; it does not certify the present account position. If a current letter is your objective, include that in the enquiry so the remaining requirements can be reviewed.
