THE ESTIMATE BEHIND THE RETURN

Estimate the year while it is still unfolding.

Provisional tax is a way of paying income tax during the year using estimates of taxable income. The IRP6 records that estimate for the relevant period. It is different from the annual return that reports the completed year, so dealing with one does not remove the need to consider the other.

The work begins by confirming the taxpayer and the relevant year of assessment. A company’s financial year can differ from the familiar personal tax cycle; publishing August and February as universal dates would therefore be misleading. We identify the actual period before preparing a calendar or calculation.

  • Tell us about the types of income, the latest available accounts and any significant changes expected before year-end. A new contract, property disposal, business slowdown or exceptional expense can make last year’s figures a poor guide.
  • The objective is to prepare an estimate that has a documented basis and can be explained later, rather than choose the lowest number that seems affordable at the time.
YOUR SITUATION

Is this your first estimate, a company period or a correction?

Individual with more than salary income

Review all relevant income before preparing the estimate.

  • Bring employment tax certificates as well as freelance, rental or investment records where relevant.
  • Confirm whether provisional tax applies instead of treating every extra receipt as the same obligation.

Company preparing its next period

Use the company’s actual year-end and records to forecast the full year.

  • Separate actual year-to-date transactions from forecast receipts and expenses.
  • Keep exceptional disposals, new contracts and business changes visible in the working calculation.

Outstanding or questionable estimate

Identify the period, earlier IRP6 and payment history before deciding what to do next.

  • Explain the assumptions used previously and what information changed.
  • An affordability problem should be reviewed separately from whether the estimate is supportable.

A SUPPORTED FORECAST

Collect figures that explain the full-year expectation.

We organise these inputs into a working calculation and identify questions that require clarification. The result should show which figures come from records and which depend on assumptions that may need to be updated.

  • Current estimateYear-to-date income and expense reports

Begin with year-to-date income and expense information, then separate actual transactions from forecasts for the rest of the year. Mark estimates clearly.

  • Incomplete bookkeepingMissing-record schedule

If bookkeeping is incomplete, state which months or accounts are missing so the preparation plan can address the gap rather than quietly treating absent records as zero.

  • Prior periodsAssessments, IRP6 returns and payment proofs

Provide the latest assessment and previous provisional submissions, together with records of tax already paid or withheld.

  • Significant changesAsset-disposal and exceptional-transaction records

Keep exceptional transactions visible, including major asset changes or unusual receipts. A brief explanation of a large movement helps the review focus on what may materially change the estimate.

  • Business taxpayerContracts and operating-cost forecast

For a business, compare the forecast with contracts, sales activity and recurring costs.

  • Individual taxpayerCertificates and schedules for all income sources

For an individual with several income sources, avoid considering freelance income in isolation from the rest of the tax picture.

FROM FIGURES TO FILING

Review assumptions before authorising the submission.

  1. 01

    Confirm the obligation and period

First, confirm whether provisional tax applies to your circumstances and which period needs attention.

    • An additional income source does not justify ignoring the relevant definitions and exclusions. The review should establish the obligation and the information needed, instead of starting with a form already open on eFiling.
  2. 02

    Prepare and review the estimate

Next, prepare the estimate using the available records and current applicable rules.

    • Review material adjustments and uncertain items with the person responsible for the figures.
    • If the estimate changes substantially from an earlier period, record the reason. This creates a useful explanation for the owner and for whoever prepares the annual return later.
  3. 03

Approve the estimate and payment role

Before submission, agree the estimate and confirm who is responsible for payment.

  4. 04

    Keep calculation and payment evidence

Keep the calculation, approval, submission outcome and payment evidence together.

    • These records answer different questions. A lodged IRP6 does not show that a payment succeeded, and a payment does not explain how the estimate was calculated.
    • The handover should state the next action rather than leave the client to infer it from a screenshot.
PLAN THE PAYMENT SEPARATELY

An affordable payment and an accurate estimate are not the same.

Cash pressure and taxable income

A business may be profitable while cash is tied up in stock or unpaid customer invoices.

  • That cash-flow pressure deserves attention, but it should not be addressed by inventing a lower income estimate.
  • Put the liquidity problem beside the tax calculation so the two issues can be discussed honestly.

Estimate quality and payment consequences

SARS guidance sets out consequences for late or incorrect provisional payments and estimates. The applicable rules depend on the taxpayer and period.

  • We do not promise that filing a return will prevent every penalty; the quality of the inputs, the estimate and the payment process all matter.

Tax funding and debt support

Use the estimate as a planning checkpoint.

  • Compare expected tax cash needs with receipts and operational commitments, and update the forecast when the business changes. Where an established debt cannot be settled, discuss the separate payment-arrangement route.
  • A supported estimate and a realistic funding plan give you more control than a last-minute payment decision that leaves the underlying liability unexplained.
CONNECT THE YEAR

Keep the provisional work useful after year-end.

The annual-return preparer should be able to trace provisional estimates and payments without recreating them from bank statements. Retain the period references, calculations and assumptions. If later information differs from the forecast, explain the difference rather than overwriting the original working file.

Your quote depends on the taxpayer, record quality and periods involved. Tell us whether a return is upcoming, outstanding or believed to be incorrect. Provide the latest figures you have, even if they are incomplete, and identify the missing information. We can then propose a practical preparation plan and explain the work required without offering an unsupported tax saving or guaranteed penalty-free outcome.

  • For ongoing support, agree when fresh figures will be supplied and who monitors the relevant calendar.
  • A one-off IRP6 engagement should not be mistaken for full bookkeeping, annual tax-return preparation or year-round cash-flow monitoring. Each additional service needs a clear owner and scope.

YOUR QUESTIONS. A CLEARER NEXT STEP.

Provisional tax returns:
frequently asked questions.

01Is provisional tax another tax on top of income tax?

It is a mechanism for paying income tax during the year, using estimates, rather than a separate tax on the same income. The IRP6 work should connect to the annual-return calculation and payment record so the taxpayer can understand how the amounts relate.

02Are August and February the deadlines for everyone?

No. The relevant periods must be checked against the taxpayer’s year of assessment and applicable requirements. Companies may have different financial year-ends. Provide the actual tax and financial-year information so the team can confirm the period rather than rely on a generic calendar.

03Can I use last year’s taxable income again?

It may be relevant to the calculation, but it should not replace a review of the current facts and rules. Explain changes in trading, investments or exceptional transactions. The estimate needs a defensible basis for the relevant period, including any required treatment of the basic amount.

04What if my business cannot afford the estimated payment?

Tell the team early so cash-flow constraints can be considered separately from the income estimate. An affordability problem does not justify unsupported figures. Where an established liability needs an arrangement, the appropriate SARS debt-support process can be discussed on its own merits.

05Does an IRP6 replace my annual income tax return?

No. The annual return reports the completed year and remains a separate obligation where required. Keep the provisional submissions and payment records for that handover. Agree explicitly whether annual-return preparation is included in your engagement or will be handled by another person.

06Can you assist with an overdue or incorrect provisional period?

We can assess the period, earlier submission and available calculation records. Provide the actual notices and payment evidence rather than only a total balance. The suitable action depends on the issue, and any corrections, interest or penalty matters must be evaluated within the relevant rules.
