KNOW WHAT YOU ARE SHARING

A PIN enables a check. It is not a permanent verdict.

A Tax Compliance Status PIN allows a third party you authorise to verify your current status using SARS channels. The verification reflects the position when the check is made. That matters when a supplier file contains an older printout: the document may record a previous check rather than demonstrate that nothing has changed since.

This service is designed around the electronic request and handover. It is suitable when you know what compliance information is needed but want help preparing the request or understanding a verification problem. If the underlying tax profile has unresolved issues, we identify those so the required corrective work can be discussed separately.

  • For the person requesting the PIN, the useful questions are practical. Which taxpayer needs to be verified? Why is the check being requested? Who will receive the details?
  • If you are acting for several companies, make sure the application and the procurement record refer to the same one. Similar trading names are not a reason to use another entity’s reference.
YOUR SITUATION

Is this a first PIN request, a failed check or a status issue?

First supplier verification request

Confirm the taxpayer, purpose and intended recipient.

  • Use the organisation’s exact legal details and the buyer’s request.
  • For a company or trust, establish the authorised representative before asking for profile access.

Recipient says the PIN does not work

Obtain the actual result and the details entered by the recipient.

  • A wrong reference, inactive PIN or input mistake needs different handling from an adverse compliance status.
  • Retain the time of the check and the recipient’s message.

Underlying profile needs attention

Treat the PIN request and corrective work as separate parts of the assignment.

  • List missing filings, balances or representative issues visible in the account.
  • Do not promise that a new PIN will remove the underlying problem.

BEFORE YOU REQUEST

Prepare the details that make the request usable.

This makes it easier to avoid duplicate work and to distinguish an inactive PIN from a mismatch in the verification details.

We help organise the information, while the receiving organisation remains responsible for its own verification process.

  • Entity to be verifiedTax-reference notice and buyer’s request

Keep the taxpayer’s legal name, tax reference and the request from the receiving organisation together.

  • Request already startedPrevious TCS correspondence and case status

Add any earlier TCS correspondence and the current application status if somebody has already started the process.

  • Company or trustRepresentative appointment record

For a company or trust, clarify who is authorised to act for the entity. Access problems should be resolved through the recognised representative or properly authorised user.

  • Account access needs attentionAuthorised access details

A supplier deadline should not lead to sharing a director’s private login or asking an unrelated person to approve an access request.

  • Customer verificationRecipient’s form or portal requirements

Where the organisation requesting verification has a form or portal, check its fields before the handover. It may ask for a reference, PIN and entity details in separate places.

  • Information being handed overPIN, tax reference and matching entity details

Pasting a full email into the wrong box or swapping company and personal information can cause avoidable confusion even when the original request was correct.

  • Recipient reports a problemExact error message or dated check result

Record the message and entity used in the check so troubleshooting starts with the actual failure.

A PRACTICAL HANDOVER

From the correct taxpayer to the correct recipient.

  1. 01

    Confirm the TCS purpose

The first step is to confirm the purpose and the applicable TCS request type.

    • A normal supplier good-standing check should not be treated as a specialised international-transfer application.
    • Where the request relates to a transaction outside this scope, the team should identify that difference before preparing the wrong application.
  2. 02

    Prepare through authorised SARS access

The next step is to review the available profile and use authorised SARS access for the request.

    • We retain a record of the action taken and any response. If more information is needed or the request cannot progress, the issue should be explained rather than presenting a submitted request as an approved outcome.
  3. 03

Check and share the PIN information

Once the relevant PIN information is available, check it against the entity named in your request.

    • Provide it to the intended recipient with the correct reference and sufficient context to carry out the check. Keep a copy of the handover for your records.
  4. 04

    Investigate any verification problem

If the recipient reports a problem, obtain the actual error or result before deciding whether a new request, corrected detail or underlying compliance review is needed.

WHEN A CHECK DOES NOT WORK

Separate a failed check from an adverse status.

An unsuccessful verification attempt

A verification attempt can fail because the details do not match, the PIN is no longer active or the recipient is using the information incorrectly.

  • These are different situations from a successful check that reports a compliance problem.
  • Ask the recipient for the exact message, the entity checked and when the attempt occurred; a statement that “the PIN does not work” is not enough to diagnose it.

The recipient’s verification route

SARS makes verification available through eFiling and its Online Query System.

  • The official guidance explains which information the reviewer needs. You do not need to give the reviewer broad access to your tax profile simply because they need to verify standing.
  • Keep the verification task limited to its purpose.

An underlying compliance issue

Where the outcome indicates an underlying issue, compare it with the information available to the authorised taxpayer or representative.

  • A saved screenshot may help record what was observed, but it should not replace checking the current position.
  • Keep a note of the actions taken so future reviewers can follow the history instead of restarting the same investigation from incomplete messages.
MAKE THE NEXT CHECK EASIER

Build verification into your supplier administration.

Store the relevant correspondence where the person handling supplier onboarding can find it. Record which entity it concerns and who received the information. If several team members manage tenders, use one current internal record rather than multiple copied messages with unclear dates. The purpose is reliable administration, not wider distribution of private tax information.

The quoted service scope can cover checking readiness, preparing the request and helping with the handover. It should also identify the limits of any troubleshooting included. Historic filings, debt arrangements or representative changes are different tasks. We confirm the expected preparation work after seeing the issue and do not promise instant approval or a permanently compliant result.

  • Review a customer’s request close to the point when evidence is needed. A previous successful check does not remove the need to keep returns and account matters up to date.
  • Assign recurring tax work to a responsible person so a new verification request does not become the first notice of a missed task.

YOUR QUESTIONS. A CLEARER NEXT STEP.

Tax Compliance Status PIN:
frequently asked questions.

01Is a TCS PIN the same as my eFiling password?

No. The PIN is for the particular compliance-verification purpose. Your password provides access to an account and should remain private. Never give a customer or supplier your eFiling credentials because they have asked to check tax standing; supply the appropriate verification information instead.

02Can the result change after a PIN has been issued?

Yes. Verification concerns current status when the check is made. Treat a saved verification result as a dated record rather than a permanent assurance. Continue maintaining the underlying tax affairs after the initial request and investigate a new adverse result using current information.

03Which number should a third party use with my PIN?

Use the taxpayer reference associated with the PIN and the correct legal entity. Do not substitute an owner’s personal number for a company, or use information from another company in the group. Check the original correspondence before asking for another PIN.

04What if the receiver says the PIN is inactive?

Ask for the precise message and compare the details entered with the information supplied. An inactive or mismatched PIN needs different attention from a compliance problem. We can review the request history and explain the next suitable action within an agreed support scope.

05Can I use a good-standing request for every international transaction?

Do not assume that. The purpose and relevant SARS process should be checked for the particular transaction. Routine TCS PIN assistance and specialist approval applications involve different information. Explain the transaction so the appropriate application route can be agreed.

06What does the fee include?

Ask for a scope covering the PIN request and any agreed assistance with verification questions. If profile corrections or outstanding tax work are needed, these should be explained and quoted separately. The existence of a PIN request does not mean every underlying compliance issue has been resolved.
