YOUR STARTING POINT

Start with your trading position, not just a VAT number.

A customer asking for a VAT number can create pressure to apply immediately. Before committing, establish what your business supplies, which legal entity makes those supplies and how its trading activity is documented. A business that sells taxable goods needs a different review from one whose receipts include exempt supplies. A bank deposit total alone does not explain that distinction.

Describe your activities, trading start date and reason for applying in your enquiry. If you have already submitted an application, include its status rather than starting another one. The useful outcome of the first review is a decision about the appropriate next action: prepare a new application, respond to an existing request or resolve a registration detail first.

  • SARS guidance checked on 30 September 2026 sets the compulsory registration threshold above R2.3 million in taxable supplies over any consecutive 12 months. A written contractual obligation exceeding that amount over a 12-month period can also trigger registration.
  • The compulsory application must be made within 21 business days of the threshold being, or becoming due to be, exceeded.
  • The general voluntary route applies below R2.3 million where taxable supplies have exceeded R120,000 in the preceding 12 months, subject to the relevant conditions.
  • Specific routes also exist before that minimum is reached, including qualifying going-concern acquisitions, welfare organisations and prescribed activities or evidence. These are taxable-supply tests, so a bank deposit total or company age is not a substitute for reviewing the enterprise.
YOUR SITUATION

Which VAT registration route fits the business?

Compulsory registration

Use actual taxable supplies and signed commitments to establish the liability position.

  • Prepare turnover evidence in consecutive 12-month periods, not only one financial-year total.
  • Disclose earlier threshold crossings and the actual trading start date before selecting an effective date.

Voluntary registration

Start with the qualifying evidence and the business reason for applying.

  • Sales records and qualifying contracts support the review; a customer’s request for a VAT number is not eligibility evidence by itself.
  • Agree who will maintain VAT records after approval and what recurring support is needed.

Existing application or non-resident enterprise

Identify the existing case or the specialist business model before applying again.

  • Provide SARS correspondence and the entity that issued the invoices.
  • Non-resident electronic-service suppliers have a distinct route; disclose that activity so the appropriate requirements can be reviewed.

DOCUMENT READINESS

Build a file that explains the enterprise.

These items help identify mismatches before the application is assembled. The exact supporting-document list depends on the applicant and the route being used.

We use that information to prepare the request and identify any separate updates that should be addressed before or alongside it.

  • Applicant entityIncorporation documents and existing tax notices

Start with the legal name, existing tax references and current registration documents for the applicant.

  • As applicable to the applicantRepresentative ID and address or banking records

Add the representative’s details and a summary of the business address, banking information and trading activity.

    • Confirm the applicant-specific document list. Certification and verification instructions should come from the selected SARS route or actual request, not a blanket rule.
  • Trading or qualifying commitmentContracts, sales invoices and financial records

For trading evidence, organise contracts, sales invoices and financial records in a consistent order.

  • Useful briefing informationTransaction explanations and no-sales periods

Explain unusual transactions, periods without sales or changes in business activity. A short factual note beside a document can be more helpful than a large folder of unexplained statements.

  • All evidence suppliedOriginal invoices and transaction records

Do not create invoices or alter transaction descriptions merely to make an application look stronger.

  • Existing activity acquiredTakeover agreement and entity trading history

Where a new company took over an existing activity, explain which entity issued the invoices and received the money.

  • Details recently changedAddress or bank-change evidence

Where an address or bank account recently changed, provide the history so the current position is clear.

THE PRACTICAL DECISION

Weigh the ongoing effect before you opt in.

Commercial effect

Voluntary registration should be considered alongside your customers, margins and ability to keep accurate records.

  • Prepare a simple picture of who buys from you, whether your quoted prices are fixed and how you currently record purchases.
  • These facts help you discuss the commercial consequences of registration without treating a VAT number as a shortcut to credibility.

Eligibility and evidence

Keep a distinction between eligibility and convenience.

  • Wanting to quote a large customer is a commercial reason for asking about registration; it is not, by itself, proof that an application meets SARS requirements.
  • Similarly, a projected contract should be explained with the actual agreement and its conditions, rather than an unsupported sales forecast.

Ongoing record keeping

Registration also introduces a recurring administration task.

  • Someone needs to maintain appropriate invoice records, organise purchase evidence and prepare the relevant returns after approval. If bookkeeping is currently incomplete, include that in the initial conversation.
  • It is better to agree how the records will be maintained than to finish registration and discover that no one owns the next reporting cycle.
HOW WE APPROACH IT

From enquiry to a recorded registration outcome.

  1. 01

    Review the registration route

First, tell us what the business does and whether the request is compulsory, voluntary or uncertain.

    • We review the information supplied and confirm the work to be undertaken, the documents still required and the fee for the agreed scope.
    • Historic compliance work, bookkeeping cleanup and other registrations should be identified separately rather than hidden inside an application price.
  2. 02

    Prepare through authorised access

Next, the application is prepared through the appropriate SARS channel using authorised access.

    • You should review the important business facts before submission. Keep your own login credentials private; access and representation must follow the relevant SARS authorisation process.
    • A submission record is evidence that a request was lodged, not evidence that approval has been granted.
  3. 03

    Address further SARS requests

If SARS asks for further material, the response should address the actual question and refer back to the original application.

  4. 04

    Record the actual outcome

Once an outcome is available, check the legal entity, reference and effective details against the request.

    • An approval, rejection or request for clarification should each be recorded accurately, with the next action explained instead of being described as a completed registration automatically.
BEYOND THE APPLICATION

Prepare for the first return while the application progresses.

Use the application period to decide who will maintain VAT records, approve invoices and monitor correspondence. Review your invoicing setup and make a list of questions about existing contracts, deposits and purchases made before registration. The effective registration details matter; do not change historic invoices or start charging VAT merely because an application has been submitted.

We provide an estimate for the work after reviewing your circumstances. SARS may require further verification, so neither an enquiry nor a complete document pack guarantees a particular approval date. Tell us about a commercial deadline early. We can identify what is within the preparation scope and what remains dependent on the authority’s decision.

  • Agree what the handover should contain: the registration outcome, the business details used, any outstanding SARS correspondence and the next administrative actions.
  • If you need continuing bookkeeping or tax-submission assistance, request that as an ongoing service with its own responsibilities and schedule.

YOUR QUESTIONS. A CLEARER NEXT STEP.

VAT registration:
frequently asked questions.

01Can I register voluntarily before my business is large?

Potentially. The general voluntary route and the specific routes for applicants below its minimum have different evidence requirements. Share your sales history, contracts and nature of activity so the relevant route can be identified. Registration is not automatic merely because a customer requests a VAT number.

02Does company registration include VAT registration?

No. These are different processes. Company documents help identify the applicant, while the VAT review concerns the enterprise and its supplies. An existing income tax number or company certificate should not be presented to customers as proof of approved VAT registration.

03What if I have already applied and SARS wants documents?

Start with the application reference, the request received and what was previously submitted. We can assess the response work needed. Resubmitting an unrelated new application may make the history harder to follow, so the existing case should be understood first.

04Can you guarantee approval before my contract starts?

No. We can organise the preparation and explain missing inputs, but SARS controls its verification and decision. Tell us the contract date and provide the relevant terms so we can discuss an appropriate application plan without promising an outcome outside our control.

05What will the service cost?

The fee depends on application readiness, profile issues and whether earlier trading or outstanding correspondence needs investigation. Ask for a written scope identifying preparation, submission support and any follow-up included. Ongoing VAT returns and bookkeeping should be priced and agreed separately.

06What should I send in my first enquiry?

Describe your business, whether it is already trading, the reason you need VAT registration and any current SARS application. You can begin without uploading identity or banking documents publicly. The team can then confirm a suitable document list and secure way to provide it.
