Why businesses need a Letter of Good Standing
A main contractor or client may request this letter before allowing a business to perform work. The request often appears in a tender pack, supplier checklist or site access process. It is relevant to employment injury compensation obligations; it is not a general certificate that every aspect of a business is compliant.
The Compensation Fund’s contact-centre guidance explains the importance of checking contractors’ standing. A SARS TCS PIN answers a different question, so sending tax clearance in place of the requested compensation letter may leave the requirement unmet.
Read the client’s request carefully. Establish the employing entity, the issuer expected, the validity needed and the submission date. Where a licensed mutual association administers the employer’s cover, use the appropriate issuer’s process. Do not assume that every employer’s letter must come from the same system.
Registration, assessment and standing are different
| Record | What it helps establish | What to check next |
|---|---|---|
| Employer registration | The employer has a recorded account. | Do the entity details and nature of business agree with the actual employer? |
| Return of Earnings | Earnings information has been declared for a period. | Was it accepted, and is the supporting payroll accurate? |
| Assessment or statement | The account records charges, payments and balances. | Are amounts and payment allocations correct? |
| Letter of Good Standing | The issuer confirms standing for the letter’s stated validity. | Is it authentic, current and for the correct entity? |
The Fund’s letter guidance links good standing to up-to-date returns and payments. Keep these records connected rather than treating the downloadable letter as the whole compliance process.
What to prepare before you apply
Start with a file for the actual employer. A group of companies may share an office, but its records must still identify which entity employs the workers and which account the requested letter belongs to.
- Confirm employer details. Collect the registration or contract account information and check the name, address and business activity.
- Review the Return of Earnings history. Identify the periods filed and any outstanding or disputed return.
- Reconcile payroll evidence. Keep the reports supporting declared earnings, with explanations for corrections or unusual changes.
- Check assessments and payments. Match the statement to notices and payment confirmations instead of relying only on a bank debit.
- Collect correspondence. Keep audit requests, outstanding queries, approved arrangements and earlier letters together.
- Confirm authority and access. Make sure the person assisting may act for the employer and can use the appropriate official process.
If registration is missing, begin with COIDA registration support. If an assessment is the problem, scope that work separately before expecting a letter.
How to approach the application
Use the Department’s official ROE online services page to reach the relevant employer services. Check the company linked to the profile before submitting information or generating a document. An account accessible to your consultant may contain more than one client.
Complete the outstanding account actions identified by the review. Then request or generate the letter through the applicable official route. If the system prevents generation, capture the message and date, and investigate the underlying reason. Repeatedly clicking the same action will not resolve a missing return or an audit hold.
When a letter becomes available, save the original file and inspect the employer name, certificate details and validity. Verify it before sending it to the client. Keep proof of that check alongside the copy submitted, especially where several letters have been issued over time.
What can delay it?
A payment can leave the bank account without being allocated to the correct employer account. Compare the reference used with the account information before making another payment. If allocation is wrong, gather the payment proof, amount, date and affected assessment so the query can be investigated.
The Fund’s employer obligations guidance also describes audit blocks. In that situation, the authority may need payroll, financial or other records to confirm the declared earnings. A letter application does not bypass that evidence request.
Other practical blockers include missing returns, inconsistent employer particulars and an unresolved assessment. Distinguish a genuine system error from an account issue. Save a dated screenshot of an error for your case file, removing unrelated personal information when sharing it. Check current official notices before treating an old outage announcement as the explanation for today’s problem.
What if the business cannot pay the full balance?
Ask about the official payment arrangement process and obtain a decision in writing. The Fund’s contact-centre guidance discusses instalments as part of account management. Sending a proposal or making a partial payment does not establish that an arrangement has been accepted or that a particular letter will be issued.
Read the conditions attached to an approved arrangement, including payment dates and any effect on the period of good standing. Put those dates in the same calendar as payroll and other statutory obligations. If circumstances change, address the arrangement through the proper channel rather than simply missing an instalment.
For a pending contract, give the person handling the application the deadline and the exact document requirement. They can identify the unresolved dependency. They cannot responsibly promise that an outstanding account will be cleared before the buyer’s closing date.
Renewal matters: use the date on the letter
Check the validity stated on the actual letter, especially where a payment arrangement applies. Do not assume that a letter downloaded recently covers the next twelve months. A client may also require standing to be maintained throughout a contract, so one valid document at tender submission may not be the end of the task.
Create a renewal record with the expiry date, responsible person, account status and next action. Review the returns and assessments before the letter expires. That gives you time to obtain missing payroll information or query a misallocated payment.
Filing dates and system availability can change through official notices. For example, the Fund published a temporary March 2026 shutdown notice. That is a historical notice, not evidence of an outage today. Check the current notice for the relevant filing cycle instead of reusing a date from an older guide.
How to verify a Letter of Good Standing
Use the official Compensation Fund verification service for a Fund-issued letter. Enter the requested certificate information and compare the returned trade name and validity with the document. For another authorised issuer, use that issuer’s verification process.
Do not treat a logo, stamp or a familiar email sender as verification. Check that the letter belongs to the business that will perform the work. A similar name or an associated company is not enough. If the result differs, stop relying on the document until the discrepancy is resolved.
A practical supplier register can record the employer, issuer, certificate reference, validity, date checked and next review. Restrict access to the underlying files to people who need them. This provides a clearer audit trail than a folder containing several unnamed PDFs.
How Vatco helps, and common questions
Vatco provides Letter of Good Standing application and renewal support, with related COIDA assessment assistance where required. Share the current account position and any official request so the scope addresses the real blocker.
Is this only for tenders?
No. Private clients and main contractors may request it as part of their own contractor checks.
Can Vatco help with COIDA registration too?
Yes. Confirm whether the employer needs registration, returns, an assessment query, a letter or a combination of those services.
How long does renewal take?
It depends on access, records, account status and any official review. Agree the next actions after checking the case rather than relying on a universal turnaround.
Does the letter replace accident reporting?
No. Maintaining good standing and dealing with workplace injury or disease reports remain distinct responsibilities. Keep the employer’s ongoing compliance process active after obtaining the document.
