What should I update on invoices after CIPC approves a name change?

Reviewed 7 min read

Quick answer

Update future invoice templates to show the approved company name and correct company identification, then check the VAT details, customer records and any linked payment information. Keep the same entity’s records connected through its registration number. Notify SARS and suppliers through the appropriate processes. Do not automatically cancel or recreate historic invoices: SARS says a former company name alone does not invalidate an otherwise correct tax invoice. Review genuine errors through the proper correction process.

Start with the approved name and entity details

Use the completed CIPC name change documents as the source for the new registered name. Check spelling, punctuation and the company designation before changing a template. A name reservation or pending application is not the same evidence. Keep the earlier and current documents together so that the finance team can explain the change to customers and suppliers.

Compare the company registration number across the records. In a straightforward name change, the supplier remains the same company. If the number differs, investigate whether the business has actually moved to a different legal entity. That is a different exercise and may affect contracts, VAT treatment and invoicing. The company name change service concerns the registered company amendment; it should not be confused with transferring trading activity to another company.

Check the whole invoice identity block

Update the supplier name wherever it appears, including headers, footers and the information attached to emailed invoices. Check the company registration number, address and contact details against the current records. The Companies Act requirements for company identification are relevant to documents issued by the company. A new logo does not replace the need to identify the legal supplier.

Where a trading name is displayed prominently, make the registered company behind it clear. Do not assume that updating a brand label updates the underlying legal name in the accounting system. Many systems store those fields separately. Review a sample output from the actual invoicing workflow, including an emailed version or customer portal download, rather than judging the change only from the settings screen.

Review the tax invoice fields as a connected set

For a VAT vendor, confirm the correct VAT registration number and the other particulars required for the type of tax invoice being issued. The official SARS tax invoice guidance includes supplier details, relevant recipient details, serial number, date, description and VAT information. The requirements can differ with the circumstances, so check the applicable invoice category instead of assuming one short template works for every sale.

A name change does not create a new VAT registration by itself. Verify the entity’s existing registration information and do not substitute another company’s number to make the names appear consistent. A company that is not a VAT vendor must not start showing VAT merely because its new template has a VAT field.

Check that the template still displays the necessary VAT information after the design change. A shortened footer or mobile layout can accidentally remove a field that was present on the previous invoice.

Find every place that can generate an invoice

Place to checkPossible mismatchUseful verification
Main accounting systemNew header but old legal name in account settingsPreview a newly generated invoice
Recurring billingSaved template continues using the previous nameReview the next scheduled billing output before release
Customer portal or online storeDifferent supplier details from the finance systemInspect a generated document through the normal workflow
Manual invoice filesStaff use an old saved copyReplace the approved template and identify the current version

Assign an owner to each system. A central change is useful, but connected tools do not always import every field. Keep a record of what was checked so that a later complaint can be traced to the relevant source.

Update SARS particulars through the appropriate process

SARS should be informed of changes to registered particulars. Its specific guidance on company name changes and tax invoices explains that suppliers should be informed once the CIPC change has been effected and proof issued, and that SARS particulars should be updated on eFiling within 21 business days. Do not leave this task as an assumption that another institution will handle it.

Use the current RAV01 registration amendment guidance to establish the process and the authorised person who can complete it. Record what was submitted, any supporting information requested and the resulting correspondence. Saving a draft in a system is not the same as submitting it or having the updated particulars reflected. Check the outcome instead of relying on the fact that someone logged in.

Keep historic invoices and investigate actual defects

SARS says that a tax invoice in the former company name is not invalid merely because the company later changes its name, provided the other necessary details are correct. That is a limited point about a name change. It does not excuse an incorrect VAT number, an incorrect supplier or another material defect.

Do not automatically delete, renumber or recreate every historic invoice. Preserve the original records and the evidence linking the old name to the new one. If a customer requests a corrected document, establish the issue first and use the appropriate accounting and tax process. Avoid creating a second apparent charge for the same supply simply to display the new name.

Where a credit or adjustment is genuinely required, make sure the document refers correctly to the relevant transaction and that the accounting records remain reconcilable. The SARS VAT 404 guide provides broader invoice and adjustment context.

Update customers before their systems reject the new name

Tell customers who maintain a supplier profile that the registered name has changed and provide appropriate evidence. Identify the unchanged registration number and the account references they use. Ask which procurement and accounts payable records need updating. The person receiving a general company announcement may have no access to those records.

Open purchase orders deserve particular attention. A customer’s system may compare the name on the invoice with the name attached to an order. Help the customer connect the records instead of changing transaction references without agreement. For contractual notification requirements, use the separate guide on customer contracts after a company name change. An invoice update and a contract notice can be linked tasks, but they answer different questions.

Ask suppliers to update invoices issued to your company

The company is also a customer when it buys goods and services. Send the approved new details to regular suppliers and ask them to update the correct customer account. This is particularly useful where expenses recur or a purchase order was placed before the name change. Keep the supporting identity record available for suppliers that ask for verification.

Review incoming invoices for the correct recipient and other required details. Do not assume that a supplier has changed its records because your outgoing invoices now show the new name. The two systems are independent. If a supplier still uses the former name, assess the document against the SARS guidance and the actual facts rather than assuming that every such invoice must be rejected or that none ever needs attention.

Verify payment information without obscuring the name change

Check that any bank account name and payment reference shown on invoices are accurate. Confirm the bank’s process if its records need updating. A company name change does not justify directing payments to an unrelated person’s account. If banking details also change, identify that separately and support the customer’s established verification process.

Keep invoices, statements and customer communications consistent. Staff should know how to explain a valid old invoice under the former name and a new invoice under the approved name. A short internal instruction should state which evidence to use and who handles questions that involve tax treatment or bank verification.

Verify a complete billing cycle

Before the next normal invoice run, review a sample from each active route and compare it with the approved company record. Check a statement and a credit note template as well as a standard invoice. Record the template version or settings changed, who checked the output and any remaining customer update requests.

Keep unresolved items visible. For example, a customer may have accepted the new supplier name while a portal still displays the old one. Follow that specific issue through without repeatedly editing unrelated documents. The objective is consistent future invoicing and an intelligible history, with the company’s identity and transaction records preserved throughout the change.

Keep the evidence of the name change with the billing instructions, so a temporary staff member or replacement bookkeeper can identify the approved details without relying on an old email signature or an informal message.
