Consistency means an accurate explanation of the employer
A PAYE application brings company, tax, representative and employment information into one process. If those records describe different entities or different periods without explanation, the application can be difficult to verify. The first task is to identify the legal employer and distinguish it from its trading brand, shareholders and service providers.
Consistency does not mean every address or telephone number must be identical. A representative’s residential address can differ from the company’s business address. A postal address may differ from both. The fields should be correct for their purpose and supported where required.
Create a short reference sheet before completing the form. Record the legal name, company registration number, existing SARS references, employer contact information and authorised representative. Note the source document for each item. This makes discrepancies visible before they are copied into another official record.
Compare the records that establish identity and authority

Record an unresolved point explicitly. A blank note is easier to overlook than a clear statement that a name change or representative update still needs attention.
Do not substitute a trading name or another tax number
Use the company’s registered identity where the form asks for it. A website brand or shortened invoice name may be useful in a trading-name field, but it should not replace the legal name without explanation. Check the registration number character by character against the official record.
A company income tax number does not prove PAYE registration. Nor should a director’s personal tax number be entered as the employer’s reference. Keep each tax product clearly labelled on the reference sheet and use the existing SARS profile to establish which registrations are already present.
If the business recently changed its registered name, keep the official change document with the earlier registration evidence. Establish what needs to be updated at SARS. Do not create a second employer registration merely to avoid a mismatch between old and current names on the same company’s records.
A different company is a different problem. For example, moving staff from a founder’s existing company into a newly incorporated business requires a review of the actual employment and registration arrangements. A shared owner does not make the two companies one taxpayer.
Verify who is authorised to act
The SARS registered-representative guidance explains the role and the process for recording or updating the person authorised for an entity. For a company, check the relevant public-officer and representative position rather than assuming whoever knows the login password has the required authority.
Compare the representative’s name and identity details with the appointment evidence and the information to be captured. Read the current document requirements for the particular route. SARS identifies circumstances in which founding documents for a sole director can support activation without a separate appointment letter; do not turn that specific provision into a general exemption for every representative.
If a tax practitioner or administrator assists, distinguish their mandate from the company’s registered representative. Agree the work to be performed, the records they may access and who will approve declarations. Do not resolve missing authority by using someone else’s credentials or signing an appointment on their behalf.
Use contact details that can support verification
Check the email address and mobile number associated with the relevant SARS process. Outdated details can leave the right person unable to receive a notice or complete verification. Establish whether a change is required before submitting an application that depends on those details.
A general business mailbox may be suitable for some correspondence, while a representative’s verification details serve a different purpose. Follow the requirements of the field and process. Keep access limited to authorised people and avoid making the business dependent on an employee’s account after that person has left.
One-time codes and login credentials should be handled through the legitimate user’s own process. A document-preparation assistant does not need unrestricted access to every tax function. The company should know which rights were granted and retain a route for receiving official correspondence.
Where contact details are being changed during registration, save the acknowledgement and outcome of that change separately. An update request is not proof that the new details are already active. Confirm the recorded position before relying on it for the next step.
Match commencement details to the actual employment history
The date the company was incorporated and the date it first became an employer may differ. Use the employment records to establish the latter. A business can exist for months before hiring staff, while another may already be paying employees when it approaches an adviser.
The RAV01 guide describes payroll registration fields and procedures for dates that cannot be handled through the ordinary online route. If the actual date does not fit a screen restriction, obtain guidance on the appropriate process. Do not enter a convenient false date merely to make the form proceed.
Keep signed contracts, first payroll reports and payment records together. Explain a delayed first payment or salary advance if it affects the timeline. The supporting evidence should allow the adviser to distinguish when work began, when remuneration became payable and when money moved.

Prepare a coherent document pack
- List the documents requested by the current official route.
- Check names, numbers, dates and legibility across the pack.
- Keep all pages of appointment or registration documents where relevant.
- Explain recent changes with the appropriate supporting evidence.
- Resolve missing authority or a different-entity problem before submission.
- Save the final application and attachments in the version submitted.
The SARS supporting-document page provides requirements for registration and amendments. A document list can vary by entity, transaction and request. Use the current instructions for the actual case rather than assuming a pack accepted for another client is sufficient.
If evidence is unavailable, say so and establish what alternative is acceptable. Do not alter a bank statement, recreate an official notice or obscure a different account holder. A factual explanation of the gap gives the reviewer a basis for the next question.
A fictional example: a new payroll administrator
Imagine a small company that appointed a new public officer after its previous accountant left. Its incorporation records show the current company name, but the SARS profile still contains an old contact address. The new payroll administrator has employee contracts but no representative appointment record.
The sensible preparation sequence is to confirm the authorised representative, obtain the appointment evidence and address the outdated details through the official route. The administrator should then reconcile the employment start information and prepare the PAYE application for the correct company.
Copying the former accountant’s details into the new application might make the fields look complete but would not explain the current authority. The example illustrates why document completeness and factual correctness must be checked together. It does not predict an application outcome or processing time.
