Tax Compliance Status PIN: what it is and when you need one

Originally published Reviewed 9 min read

Quick answer

A SARS Tax Compliance Status PIN lets an authorised third party check your current overall tax compliance status. It is commonly requested for tenders, supplier onboarding and funding checks. The result reflects the position when the PIN is used, so an old result letter does not prove today’s status. Request the appropriate PIN, share it only with the intended verifier and keep the underlying registrations, returns and payments in order.

Why the TCS PIN matters

A customer asking for tax clearance wants a reliable way to check the business. A certificate or result letter saved months earlier may no longer reflect the position. The TCS system lets the authorised recipient check the current result rather than relying solely on the date printed on a document.

SARS explains that sharing the PIN authorises a status check. It does not provide the recipient with your eFiling password or general access to your tax account. Keep those forms of access separate when responding to a supplier questionnaire.

The PIN is also not a registration number. A business may have a tax reference number yet still have outstanding obligations. Record exactly what the customer requested, which legal entity must supply it and who is allowed to receive it.

When you may need one

Tenders, private supplier onboarding, contract renewals and funding applications may request evidence of tax compliance. The requirements belong to the specific buyer or institution. Read the checklist rather than assuming that one standard pack suits every opportunity.

SARS’s August 2026 small-business guidance discusses TCS in the context of contracts and funding. A compliant status can answer the tax-compliance part of an application, but it does not establish affordability, creditworthiness, technical competence or eligibility for every programme.

If you operate through a company, check whether the request concerns the company, a director or another party. Sending the director’s personal PIN when the customer needs the company’s status can lead to a failed verification even though both people believe the request has been answered.

Does the PIN prove turnover or financial strength?

No. A tax-compliance result answers the compliance question defined by SARS. It does not disclose a verified sales total to the recipient or certify that the company can finance a proposed contract. Read the result within that limited purpose.

For example, a buyer evaluating capacity may separately request financial statements, current management accounts, project references or evidence of available funding. Each record has its own period and purpose. A compliant TCS result cannot replace those records, while strong sales figures do not replace the tax-compliance check.

If a supplier questionnaire combines these requirements, label each attachment clearly. Put the PIN under tax verification and the relevant financial information under its own requested heading. If you are asked to certify another company’s turnover, do not infer a number from its tax status. Obtain the appropriate evidence and any required professional confirmation.

Good Standing or Approval International Transfer?

The current SARS TCS overview lists Good Standing and Approval International Transfer, usually shortened to AIT. The former Tender option is no longer used; Good Standing serves that purpose.

An ordinary business status check is not the same process as an international-transfer application. If you are unsure which is required, get the institution’s written request before submitting the wrong type.

How to prepare and request a PIN

  1. Confirm the taxpayer. Check the legal entity and reference number against the application you are supporting.
  2. Check authorised access. Make sure the person handling the request has the appropriate role and rights, especially on an organisation or practitioner profile.
  3. Open My Compliance Profile. Review the underlying position rather than going straight to a document download.
  4. Resolve or investigate flagged issues. Identify the tax type and period affected before choosing a remedy.
  5. Submit the appropriate TCS request. Follow the official process and retain the reference and correspondence.
  6. Read the result and validity. Confirm what was approved and which PIN details you may share.

The SARS TCS functionality guide explains the available controls and request statuses. Follow the current screens and your actual request rather than a screenshot from an older tutorial.

What can stop approval or change the result?

Outstanding returns, debt, registration issues or incorrect particulars can affect compliance. Paying one amount does not establish that every tax obligation has been satisfied. A company with income tax in order might still have an unresolved issue on another registered tax product.

The My Compliance Profile guidance explains how to expand a non-compliant indicator and investigate the reason. Start with that detail. If a return is missing, locate the period and filing requirement; if debt is shown, inspect the relevant statement and payment allocation.

Where you disagree with the status, SARS provides a challenge process with a motivation and supporting evidence. Challenging a status is not the same as simply clicking refresh. Keep the acknowledgement and case reference so that later follow-up connects to the actual issue submitted.

How the recipient verifies the PIN

The recipient uses the taxpayer’s reference number and PIN through the official SARS verification process. They should confirm that the returned details belong to the intended taxpayer and record when the check was made.

SARS also provides an Online Query System verification route. A reference and PIN that do not match the underlying request can cause an error. Before applying again, check for a typing error, the wrong entity, or a PIN that is no longer usable.

For a fictional supplier review, imagine that Company A supplies the PIN but the customer enters Company B’s tax number from an old application. The failed match does not establish that Company A owes tax. Correct the identity problem first, then examine the actual verification result.

Ask the customer for the error text rather than only “it does not work”. Never ask them to send a password or login code. Keep any corrected PIN details out of an email chain with unrelated recipients.

A valid PIN and a compliant status are different

The PIN provides a route to verification during its applicable period. Compliance is the position SARS reports at the moment of the check. Those are separate facts. A PIN can still be usable even though a later missed return or payment changes the status shown to the recipient.

Read the expiry information on the request or result instead of assuming that every PIN is valid for the same period. If the institution checks again later, it may see a different outcome. An old screenshot or printed letter cannot freeze the business’s tax position.

Build a simple review into your supplier administration: check status before submitting a pack, track upcoming tax obligations and recheck when the buyer requests an update. Keep the date of the check with the record. This gives the finance team a clear point of reference if a customer reports a different result.

How to share it without sharing account access

Send the PIN and relevant tax reference only to the party that needs to verify the status. Check the recipient and the request, particularly if an unexpected email asks for a new document. Do not place the PIN on a public company profile or in an unrestricted marketing download.

A status check does not require you to give a buyer your eFiling password, one-time login code or access to unrelated tax records. If someone is formally appointed to assist with your tax affairs, use the appropriate authority and account-access arrangements rather than treating a TCS PIN as a mandate.

Keep a record of who received the PIN and why. If you suspect it was sent to the wrong party, review the available PIN management controls in the official service and obtain assistance. Do not assume that deleting your email removes information already received.

May my accountant share it with every supplier automatically?

Agree the sharing scope explicitly. A practical instruction names the approved recipients or defined supplier process, the purpose and the record to retain. It can cover routine authorised checks without requiring a fresh conversation for each one, but should not be treated as unrestricted permission to distribute the PIN to unrelated parties. Review the scope when the accountant, business contact or supplier relationship changes.

How Vatco helps with the request

Vatco offers TCS PIN preparation and application support. The first task is to identify whether you need a request, a verification check or help resolving an underlying compliance issue. Those scopes may involve different records and follow-up work.

Where returns are missing, tax return submission support may be relevant. Where debt is the concern, discuss the actual account and any payment arrangement requirements. Do not assume that requesting another PIN fixes either issue.

For an initial enquiry, state the entity, the purpose of the request, the deadline and whether My Compliance Profile shows an issue. Use the agreed secure process for detailed account records. Vatco can help organise the work; SARS controls the official status and decision.

Common questions about a TCS PIN

Is the PIN public?

No. Share it deliberately with the intended verifier, together with the correct taxpayer reference.

Does it mean I am permanently compliant?

No. The result can change as returns, payments and other obligations change.

Can Vatco apply for me?

Vatco can assist within an agreed scope and proper authority. Confirm access and supporting records at the start.

Is a tax clearance certificate enough?

Ask what the recipient requires and use the current verification route. A historical document alone may not answer a request for today’s compliance status.
