Why is my tax compliance status red when I have paid SARS?

Quick answer

A payment leaving your bank account does not by itself prove that SARS allocated it to the correct tax and period, or that all other obligations are complete. Open My Compliance Profile, expand the red indicator and identify the exact reason. Then compare the relevant statement, return and payment reference. Resolve that issue, allow for the official update process and verify the current result before sending a status confirmation to a customer.

Start with the reason behind the red indicator

Seeing a red status after making a payment is frustrating, especially when a customer is waiting for a tender or supplier document. The useful next step is to identify the item causing the result. Paying again without that information can create a second problem while leaving the first one unresolved.

SARS’s My Compliance Profile guidance explains how to expand the non-compliant indicator. Note the tax type, period and reason displayed. A returns issue requires a different response from a debt issue, and a registration issue may not be resolved by either filing a return or paying money.

Take a dated record of the relevant screen for your case file. Avoid circulating a full account screenshot when a cropped view of the issue will do. Keep taxpayer references and personal information within the people authorised to handle the case.

Payment instruction, receipt, allocation and compliance are different

Keep all four stages visible when discussing the case with your accountant. “We paid” may be true while the statement still needs an allocation correction or a different period still has an outstanding return.

Check the payment reference against the actual liability

The SARS payment rules explain how the payment reference number, or PRN, identifies the obligation. Use the reference on the relevant SARS document or official payment process. A general company tax number typed into the bank reference is not automatically an adequate substitute.

Compare the confirmation with the intended tax type and period. Look for a copied reference from an earlier payment, a missing digit or a payment made for another entity in the group. Check the amount and transaction date as well. Preserve the original confirmation rather than editing it to display what you intended.

If the payment has been allocated incorrectly or remains unallocated, assemble the evidence for the appropriate correction or enquiry. Do not assume that the same correction route applies to every tax type. Record what you asked SARS to investigate and retain the case reference.

Check whether the red item is something you did not pay for

Compliance covers more than the latest bill. The SARS compliance overview refers to registration, returns, debt and correct particulars. A payment against one account does not settle an unrelated amount or submit a missing return.

Review the detail rather than assuming the red result must relate to the payment you just made. A business may be concentrating on VAT while the outstanding item concerns PAYE or income tax. Equally, a return can be prepared in the accounting system but still not submitted through the official process.

Check acknowledgements and statements for the specific period. If a return was filed, identify its submission record. If a payment arrangement is relevant, verify that SARS approved it and that its conditions remain satisfied. An arrangement you proposed internally does not have the same status as one accepted by the authority.

A fictional example: payment completed, return still outstanding

Imagine a small maintenance company preparing a supplier pack. Its administrator pays the amount shown on a recent SARS statement and expects the tax status to become green. The profile remains red, so the team initially suspects that the payment disappeared.

They expand the indicator and find an outstanding return for a different period. The bank payment is genuine and correctly reflected, but it answers only the debt question. The next task is to establish why the return is missing, prepare the accurate return and submit it through the correct process.

After that, the team checks the account and status again rather than sending the customer a bank confirmation as proof of compliance. This fictional example shows the diagnostic method. It does not predict your case: your red indicator might instead relate to a wrong reference, registration issue or another underlying item.

Build a small evidence pack for the actual issue

  1. Identify the taxpayer and period. State the entity and the tax account involved without mixing personal and company records.
  2. Save the status detail. Record what the red indicator says and the date checked.
  3. Obtain the relevant statement. Use the account that contains the disputed balance or missing allocation.
  4. Attach payment proof where relevant. Include the amount, date, actual PRN and completed bank transaction.
  5. Attach filing evidence where relevant. Include the return acknowledgement, not only a working calculation.
  6. Write a short chronology. Explain what happened, what remains wrong and what correction or investigation you are asking for.

Nominate one person to keep the complete case record. If your adviser contacts SARS, agree who will receive and answer later requests. A query can stall when the evidence reaches one person but the official correspondence reaches another unattended inbox.

What if the profile still looks wrong?

First confirm that you are looking at the correct taxpayer and the latest available account information. Compare the status detail with what was actually submitted or paid. A general refresh cannot fix a factual mismatch, while a recent action may still be moving through the official update process.

Keep the challenge or query reference and any request for more material. Respond to the question asked rather than sending the same bundle repeatedly. If a response is overdue, use the appropriate official follow-up process with the history available. There is no responsible promise that every red status will clear within the same number of days.

What to tell a customer waiting for tax clearance

Give the customer a factual status update: identify that the compliance check is being resolved and state what evidence you can currently provide. Do not describe a proof of payment as a compliant TCS result. If the deadline is close, ask the customer what its process permits while the issue is pending.

A TCS PIN allows a current status check. Applying for another PIN does not remove the underlying problem. The SARS verification result reflects the time the recipient checks it.

Once the issue is resolved, verify the result and send the correct taxpayer details through the agreed channel. Keep the date of verification so the customer and finance team can distinguish a current result from a document prepared earlier.

Reduce repeat problems in the monthly process

Assign separate checks for return submission, payment completion and account reconciliation. If one person prepares and another approves, make the handover clear enough that a payment request cannot sit unapproved while everyone assumes it is complete. Keep the official deadline with the task.

Use the current PRN for each obligation, save the submission acknowledgement and reconcile the account after payment. Review upcoming obligations when preparing a supplier pack, not only after a customer reports a failed verification.
